Learn how to track the lifecycle of your invoices in AroFlo Office

Invoices Menu

Access the invoice menu using Accounts > Invoices. The menu provides a range of options for viewing, searching and emailing invoices.

Click the expand below for a list of statuses and options on this page and why each status might be useful for you to track.

Statuses/options explained

Option
Description
In Progress Invoices

Displays a list of invoices with 'In Progress' status.

These are invoices that are currently being worked on (and typically have not yet been sent to the client).

Click Unpaid to filter the list for unpaid invoices only.

Pending Approval Invoices

Displays a list of invoices with a 'Pending Approval' status.

Invoices that may need to be checked before being sent to the client (depending on your company workflow).

Approved Invoices

Displays a list of invoices with 'Approved' status.

Invoices that have typically been sent to the client. These invoices are ready to send across to your accounting package, or to be manually processed.

Processed Invoices

Displays a list of invoices with 'Processed' status.

Invoices that have been processed manually or sent across to your accounting package.

Create Sales Invoice Create a sales invoice that is not directly linked to a job.
Periodic Invoices Displays a list of current periodic invoice templates for automatic generation of invoices.
Create Periodic Invoice Create a new periodic invoice template for automatic generation of invoices.
Email Invoices Email directly from the invoice menu.
Search Search for invoices by Invoice No, Task Ref, Job Number, Cust. Order No, or Client name.
Integration Menu If you have integrated with a cloud-based accounting package, you will also have the Integration Menu option, which allows you to transfer data between AroFlo and your accounting system.
 
 

 

Invoice status lists

Click each tab to find out more about each status and their options.

You can also add payments for invoices or multiple invoices at once. See Bulk payments for more information.

In Progress invoices

The In Progress invoice list shows all of the invoices that are currently being worked on and have not yet been sent to the client.

Sort the invoice lists by clicking on any of the underlined column headers (e.g. ClientInv. NoInvoice Date). Click the column header once to sort ascending (alphabetical/numerical); click again to sort descending.

 
 
 

Pending Approval invoices

'Pending Approval' is an optional status that you may choose to use, depending on how many levels of approval you have in your workflow. For example, if your Field staff create invoices on the job, they might set them to Pending Approval so that your Accounts Department knows to check them before sending them to a client.

 
 

Approved invoices

The Approved invoice list shows all the invoices that have been sent to the client. These invoices are ready to send across to your accounting package via an Accounting Integration, or be manually processed.

Verify Invoice No. field

If your AroFlo site is integrated with an accounting package, you will not see the 'Verify Invoice No' field, as there is no need for you to complete verification.

 

Invoices with (in the Inv. column) mean the Cust. Invoiced checkbox has been ticked on the invoice. This is used to flag invoices that have been sent to the customer.

 
 
 

Processed invoices

The processed invoices list shows all of the invoices that have been sent across to your accounting package, either via an integration link or manually.

When viewing processed invoices, you'll have an additional date range filter. Use this to select a From and a To date

 
 

Using multiple business units?

If you have access to multiple Business Units, for each of the status views, you will have an additional filter at the top of the screen to display further options.

This Business Unit Only Only displays invoices that are part of the selected business unit.
Include Child Business Units

Displays invoices that are part of the selected business unit, as well as child business units. An additional Owner heading field will display.
