An asset is a piece of equipment or a component which you can record service history against, track the movement of and upload documentation on, such as warranty information or user manuals. Using AroFlo's asset register, you can keep tabs on internal assets provided to staff, as well as manage client-owned assets that require routine maintenance.

Search for assets

To avoid duplicates of the same asset, it is recommended that you perform a search before creating a new asset.

  1. Go to your company or client assets list.
  2. Tap Search (top of screen).
  3. Enter part of the Asset Name, Customer ID or Serial Number.

    If barcodes have been recorded against assets, you can search for assets using the Scan Barcode option. For more information, see Barcode Scanning.

  4. Tap Search (bottom of screen).

  5. Tap the asset name to view details and options.

Create a company asset

To create a new asset against your company/business unit:

  1. From the main menu, tap Assets.
  2. Select an appropriate category.

    New asset categories can only be created via AroFlo Office. For more information, see Create Asset Categories.

  3. Tap Create.

    Scan barcode

    To record a barcode for the asset, tap Scan Barcode. If this is the first time you've used barcode scanning on your mobile device, you will be prompted to download the Pic2Shop Barcode Scanning app (Android/iOS). Once you've scanned the barcode, you will need to enter the asset details.

  4. Tap Create Asset >.
  5. Enter the relevant details of the asset.
  6. Scroll down and tap Create Asset.

Create a client asset

To create a new asset against a client:

  1. From the main menu, tap Clients.
  2. Select a client from the list.
  3. Tap Assets.
  4. Follow steps 2 - 6 as above.

Add assets to a task

If you're performing work on an asset, you can add the asset (or multiple assets) to the task to keep track of the service history.

To add an asset to a task:

  1. Open the task.
  2. Tap Assets >.
  3. Tap Add Asset (top of screen).
  4. Select a category.

    Alternatively, you can use the search function to locate assets by Asset Name, Customer ID or Serial Number.

  5. Select the asset.
  6. Complete the checklist (Pass, Fail, N/A).
  7. Tap Save Assets .

Change list filter

In some circumstances, it may be necessary to add an asset that belongs to a different client or your company/business unit.

To do this, tap the Filter By button and select how you would like to filter the asset list:

Filter ByDescription
Task Client and LocationLists the assets for this client and location.
Task Client (all locations)Lists all assets for the client, regardless of the location of the asset.
BU:(Business Unit Name)Lists the assets for this business unit, i.e. company owned assets
AllLists assets for all clients.
ArchivedLists all archived assets.

Assign assets to users

You can assign assets to users so that you always know who's using which assets. For example, you can assign a van to the user who will be driving it for the day.

To assign an asset to a user:

  1. From the main menu, tap Assets.
  2. Tap the asset category you want, e.g. Vehicles.
  3. Tap the asset name then tap Users.

  4. Tap the checkbox next to the user's name. You can select or deselect multiple names.
  5. Tap Save and then tap Assets (at top left) to return to the list of asset categories.

You can also assign assets to users via a user's profile (dependent on your user access permissions):

  1. From the main menu, tap Users.
  2. Tap the user name you want.
  3. Tap Assets > Add Asset.
  4. Tap the asset category you want, e.g. Vehicles.
  5. Tap the asset name then Save.

Archive an asset

You can archive an asset as follows (dependent on your user access permissions):

  1. From the main menu, tap Assets.
  2. Select the asset category and then the asset you want to archive.
  3. Tap Asset Details.
  4. In the Status drop-down, select Archive.
  5. Click Save.
