Instructions on joining a training session

AroFlo's Customer Service team uses Zoom to schedule and run all client training sessions. This means:

  • AroFlo staff and clients can work remotely
  • AroFlo can record training sessions and store them in the cloud
  • Clients can record their training sessions for future reference.

App vs Browser

Please download the 'Zoom Client for Meetings' app on your device. The browser based version of Zoom does not offer full functionality. See further download instructions below.

 

Having trouble? Use your mobile device
Zoom can be used from your mobile device to assist your consultant in troubleshooting your issue. Click here to find instructions on downloading the iPhone or Android app. 

Note that this shouldn't be used as a replacement for using Zoom on a desktop or laptop computer, only for troubleshooting purposes.

 

 

Join a Meeting

At the scheduled time of your training session, open the email your consultant has sent and click on the link.

 

Download Zoom

If you haven't used Zoom before, you'll see a prompt to download and install Zoom.

You can also download the 'Zoom Client for Meetings' before the meeting.

 
  1. The Zoom file will download (see image below). The download location depends on your browser settings.
  2. Click the file to install. Once installed, a prompt will appear to enter your name (See Using Zoom, below).

If you're asked for a meeting passcode, click Cancel and click Launch Meeting in your browser.

 

 

Already Installed Zoom?

If you've used Zoom before, the meeting will launch after you click the email link.

  1. If a prompt does not appear, click Launch Meeting.
  2. Click Open Zoom Meetings when you see the prompt.
  3. The Zoom Client will start. You will be asked to enter your name (see 'Using Zoom').

 

Unable to download Zoom?

If you are unable to install Zoom, you can join a meeting with the ‘Join from your browser’ link. This option offers limited functionality and is not recommended.

The browser version does not allow our team to use annotation tools or request control if you need assistance.

 

 

Using Zoom

Once Zoom starts:

  1. Enter your name and click Join Meeting.

    If you're early, you may see 'Waiting for host to start this meeting'. You'll have the opportunity to test your audio, video and other settings (see next section).

     
  2. A prompt may appear that the meeting is being recorded. Click Got It.

 

Audio Settings

Once you join a meeting, you can select the audio conference options:

  • Computer Audio - if your computer has a microphone and speakers, click Join with Computer Audio and you're in.

More information

This is also the option to choose if you have a headset plugged into a computer that has a microphone and speakers.

You can click the checkbox at the bottom of the Computer Audio tab to always join a meeting in this way.

 
 
  • Phone Call - this is the option to choose if your computer does not have a microphone and speakers.

To join the meeting via phone:

  1. Click the Phone Call tab.
  2. Using your mobile phone or a landline, select your country and dial any of the numbers given in the Dial section.
  3. When you hear the telephone voice prompts, use your phone's keypad to enter the:
    1. Meeting ID, followed by the # (pound or hash symbol)
    2. Participant ID, followed by the # (pound or hash symbol).
  4. Click Done.

The phone numbers given for joining a meeting by phone are provided by Zoom. Standard call charges apply.

 
 
 

 

Unmute Audio and Start Video

Your audio will be muted when the meeting starts, and participants will not see your webcam video.

Use the controls on the bottom left to Unmute yourself when the meeting starts.

- You can also turn on webcam video by clicking Start Video.

 

 

Share your screen

Your AroFlo consultant may ask you to share your screen.

  1. Hover over the lower part of the Zoom screen once you've joined the meeting. The controls appear.
  2. Click the Share Screen button.
  3. A prompt will appear to select a screen or window. Select a screen (or window) and click Share.

 

Record your meeting

All Zoom meetings will be recorded by default. If you prefer that we don't record the meeting, please state this clearly to your AroFlo Consultant at the start of the call.

  • Recordings are stored in the cloud for 30 days. On request, your Consultant can send you a link to your recording during this time.
  • If you want to keep a permanent copy of the recording, you should download it when you receive the link.

 

Leave a meeting

Your AroFlo Consultant will end the meeting at the end of the allocated time. If you need to leave the meeting before that for some reason (e.g. if there are other people on the call and only you need to leave), click Leave Meeting in the lower right of the screen.
