Stored Payment Types

Learn how to manage stored payment types in AroFlo Office.

Recording a payment type against a client is useful if you do recurring or periodic work for them. It will save you from having to confirm the credit card/bank details with your customer each time you take payment.

 

 

Add a stored payment type

Setting up a stored payment type is done within the client card.

In order to store credit card details, you need to be using a Payment Gateway.

AroFlo does not access or store actual credit card details; it uses a secure token issued by a third party.

These Additional Terms govern the access to and use of the payment data tokens functionality within the AroFlo System (Payment Gateway Functionality), provided through our third-party service provider, Spreedly, Inc. (Spreedly).

  1. Go to Accounts > Clients > (Select a Client) > Stored Payment Types tab.
  2. Click Add Stored Payment Type.
  3. From the pop-up window, select Credit Card as the Payment Type.
  4. Enter an identifying name for your stored payment type
  5. Select a Payment Gateway

    This will only be used to validate the credit card number and not actually to process payments.

     

    Selecting 'None' as Payment Gateway 
    Selecting None is useful if you need to record payments that are not taken using your payment gateway, e.g. payments taken via an EFTPOS terminal.

     
  6. Enter the Credit Card NumberExpiry DateCVV, and Name on Card.
  7. Enter Notes specific to this client (optional).
  8. If you want to set these details as the preferred details, tick the Set as Default box. 

    Setting these details as the default means that when you record an invoice payment for this client and select Credit Card as the payment method, these details will auto-populate. If you don't set these details as the default, you will need to select them from the dropdown.

     
  9. Save. The stored credit card information will be visible. The table displays the type of credit card, the note, and only the last four digits of the credit card number.

Failed validation

If the credit card fails validation, an alert will display. Ensure the details you've entered are correct. If they are, check with your client, who may need to check with their financial institution.

 
 
 

Adding a bank account

  1. Go to Accounts > Clients > (Select a Client) > Stored Payment Types tab.
  2. Click Add Stored Payment Type.
  3. From the pop-up window, select Direct Debit as the Payment Type.
  4. Enter a name for your stored payment type.
  5. Fill out all details related to bank account information.
  6. Enter a note specific to this client (optional).
  7. If you want to set these details as the preferred details, tick the Set as Default checkbox.

    Setting these details as the default means that when you record an invoice payment for this client and select Bank account as the payment method, these details will auto-populate. If you don't set these details as default, you will need to select them from the dropdown.

     
  8. Save. The stored bank account information will be visible. The table displays the bank details you entered, as well as the note.
 
 

 

Edit a stored payment type

  1. Click on the payment type you need to edit.
  2. Click Edit Stored Payment Type.
  3. You can edit the name, note, or the Set as Default checkbox, as necessary.

    If you need to edit the credit card or bank account details, you need to archive the stored payment type (see below) and add a new one.

     
  4. Save.

 

Archive a stored payment type

If you need to archive a stored payment type, for example, if the client has a new card issued to them, or if their bank details have changed:

  1. Click on the payment type you need to archive.
  2. Click Edit Stored Payment Type.
  3. Click Archive

    Archiving a payment type is permanent. AroFlo will ask you to confirm that you intend to archive the record.

     
  4. Click Archive. The payment type will disappear from the list.

If ever you need to view information on the archived credit card or bank account details, enable the fields you wish to display using the (columns) option.
