Create a Client in AroFlo Field

Learn how to create clients on the job with AroFlo Field

Client Information Company Address

By default, AroFlo comes with a Training Client if you would like to separate all of your training data using this or simply use it as a 'dummy' client.

  1. Tap (Menu) > Manage > Clients
  2. From the Client list, tap (green plus button) > Create Client
  3. Enter the required information into the fields under Client Information and Company/Mailing Address. See the information below for more information.
  4. Tap Create Client.

You can also create a client from the Create a Task screen.

 
 

 

Client Information

Mandatory Fields

Field Description
Company Name

The primary name for the client company.

If the client is an individual, see the Individual section, below.

Duplicate Client Names

When you create a client or supplier with a Company Name that already exists, an alert will appear with the options to:

  • View the Existing Client
  • Proceed to Save Client, or
  • Cancel.

If you use an accounting integration link, we recommend you check your accounting package to see if it accepts duplicate Client and/or Supplier names.
Short Name

AroFlo creates a short name automatically once you've entered a Company Name. You can override the name AroFlo creates by typing over it.

This field is a secondary identifier for this client. All tasks created against this client will reference this short name.
First Name First name of the primary contact at the client company, or of an individual for non-business clients. For business clients, you can change this name if the contact person changes.
Last Name Last name of the primary contact at the client company, or of an individual for non-business clients. For business clients, you can change this name if the contact person changes.
 
 
 

Other fields

Field Description
EIN

Record your client's national business taxation number, like their Employee Identification Number.
Individual If your client is an individual rather than a company, complete the First Name and Last Name fields and then check this box. AroFlo will update the Company Name field to match the first and last name you entered, in accordance with your naming convention set in Site Admin.
Phone Primary phone number of the client.
Fax Primary fax number of the client.
Cell Primary cell phone number of the client.
Email Address

Primary email of the client.

If not an individual, this could include the client's Accounts Payable address.

 
Website Primary website of the client.
Client Message You can enter generic comments here. This information is displayed on the invoice worksheet and can be moved onto the invoice layout if required.
Terms

Select the transaction terms for this client from the dropdown box.

  • A range of default transaction terms are included with AroFlo or set up in Site Administration. If you need additional transaction terms, please contact your site administrator.
  • Once you save the client after selecting a transaction term, you may have a colored banner at the top of the client card.
 
Terms Note Used to record any specific information related to trading terms for this client.
 
 
 

 

Company Address

Field Description
Location Name

Use this field to record the specific details of an address, e.g. 1st Floor, Building G.

Powered by Google Field

This field is powered by Google and will suggest results as you type. You can also tap the (GPS pin) to fill in details based on your current GPS location.

 
Address, City, State, Zip Code, Country Record the company's physical address in these fields. The Address field is powered by Google, just like the Location Name field. Just enter the street address and make a selection from the list Google presents. The City, State, Zip Code, and Country fields will auto-populate.
GPS Coordinates

If you made a selection from the Google suggestions for the address field, the GPS Coordinates will automatically display here. If you typed the address manually, tap Auto-Generate to update the GPS coordinates for this address.

Use this feature to assist with scheduling a task to the nearest resource. Field staff can use it to help them find the work site when they're on the road.

 
View on Map Checks the address in your Maps application.
 

Mailing Address

You only need to complete these fields if the mailing address is different from the billing address, e.g. if you want to add a PO Box address.

If the mailing address is the same as the location address, tick Same as Company Address.
