Make an invoice from a job in AroFlo Field

Objective

At the end of these steps, you will have completed a job and invoiced it in AroFlo Field.

 

 

Steps

This workflow assumes you have completed a task in AroFlo Field and are ready to move onto the invoicing stage:

 

  1. Tap the Status underneath the Task Identification in the top left of the task worksheet in field, change it Completed.
  2. Tap Save.
  3. Tap Create Invoice in the middle of the task worksheet.
  4. Select one of the following:
    (Note: See Add items to an Invoice for detailed information on using these options.)
    - Quick Total 
    Enter an invoice total and then tap Create Invoice. This inserts a single line with a price on it for easy invoicing. This will not add Material or Labour added to the task worksheet.
    - Task Items 
    This takes all labour and material entries on the task and adds them as line items to the invoice automatically. 
    - No Items
    Tap Items Total > View Edit Invoice Items. Then select one of the following: 
    1. Adhoc

      Add a manual line item. At a minimum enter a Description, Qty of 1, and a Sell price. Then tap Save. You can repeat this as many times as you want.

       
       
    2. Std Mat

      Add inventory items. Browse categories by tapping them, enter a quantity in the field below the item, then tap Save. Tap < Inv Items to continue with your invoice.

       
       
    3. Inventory Lists

      Add assembly (kit) of items or SOR List. Tap the category, then the name of the assembly or list. Enter the quantities required from the list using the field under the item, then tap Save. Tap < Inv Items to continue with your invoice.

       
       
    4. Task

      Add items from the task worksheet. Displays the Task Picklist. Enter the quantities under the task item name, and then tap Save. Tap < Inv Items to continue with your invoice.

       
       
    5. Supplier Catalogues

      Click Supplier Catalogues to access a linked catalogue.

       
       
  5. Once you've added your items tap <Invoice in the top left corner.
  6. Optional: 
    (Note: confirm your own company procedure before proceeding with taking a payment or emailing an invoice.)

Take a Payment

  1. Tap Payments.
  2. Tap Add/View Payment
  3. Tap the + (Green plus). The Add Payment dialog appears.
  4. Change the Payment Method if necessary. (If your business uses Square, tap the corresponding payment method for that. The Square app should open, process the payment and then redirect you back to AroFlo.)
  5. Confirm the amount paid. 
  6. Tap Save.

 

Once you're finished taking a payment, tap < Invoice Payments to go back to the worksheet.

 
 

Email the Invoice

  1. Tap More > Email.
  2. Check the To and modfiy the body of the email if necessary.
  3.  Tap the paperclip in the top right and then tap Invoice PDF
  4. If you want to change the layout first tap the arrow pointing down next to Invoice PDF and select a different one. 
  5. Tap the PDF to preview it or click the X in the top right of the Attachments popup to continue. 
  6. Tap Send Email.
