Layouts - Overview

Learn how print layouts work in invoices, quotes, purchase orders and more

AroFlo Office provides a range of ready-to-use standard layouts for invoicing, quoting, task sheets, purchase orders and compliance forms. Our layout editor lets you customise these standard layouts.

  • Create branded layouts to your exact requirements
  • Tailor layouts for specific clients or projects
  • Configure default settings so you always use the right layout.
  • Standard layouts are perfect for displaying information in a simple format using standard font types such as Arial, Verdana and Times New Roman.
  • If your invoices or quotes require more advanced features, such as a coloured background, a watermark, detailed tables, or non-standard fonts, we suggest that you use an RTF document template layout. An RTF layout also allows for independent pages, which can be handy if you want to include things like detailed terms and conditions on your layouts.
  • If you've used character-based languages or special characters in text fields, these will display on your layouts.
 

 

Guide to using the layouts screen

Option Description
Layout Dropdown

Choose from your available layouts. Either use an AroFlo Standard Layout or a Custom Layout.

Preview or Edit mode

If you're in Preview mode, choosing another layout will preview the layout. If you're in edit mode, you'll already be in edit mode when selecting a different layout.

 
Only available in Edit mode. Opens the preview in a pop-out window which is useful when editing a layout and saves you from switching between Preview and Edit mode.
Preview Preview mode. Use this to preview what the layout will look like for this instance (e.g. what this quote looks like for the selected client)
Edit Edit mode. Use this to make changes to your layout. See Custom Layouts for instructions
Download a PDF of the selected layout
Send an email to the selected client, supplier, etc with the selected layout. See Send an Email.

These options differ depending on where you're accessing the layour from, e.g. a task, invoice, purchase order, etc.

 
Design tab For custom layouts, add elements to your layout such as text labels, boxes, lines and images. See Add Layout Elements.
Data tab For custom layouts, add data elements to your layout. See Add Data Elements.
Tables tab For custom layouts, add data elements in the form of tables to your layout. See Add Data Elements and Add or Edit a Table Element.
Settings tab For custom layouts, access a range of settings that control the general behaviour of the layout. See Layout Settings.
Close Close the left panel.
Edit element Click an element to access the settings for the element on the right-hand side. From here you can edit things like fonts and colours, size, and add and remove columns for table elements. You cna also duplicate and delete an element from here. See Edit Layout Elements.
Save When editing a custom layout, click Save to save your changes. Alternatively use the (three dots) next to the Save button to save a copy of this layout under a different name (Save As...) or save changes to the layout and close the layout editor window (Save and Close).
