Contractor List

Learn how navigating the Contractor list works in AroFlo Office

To access your contractor list, go to Accounts > Contractors.

From here, click on the Contractor name to access the Contractor Card, the Primary Contact to open the contact card, or any phone number to easily dial the number.

You can also use the View and Create menus to:

  • View purchase orders, work orders, bills, credit notes, tasks, contacts, locations, reports and certifications for each contractor.
  • Create a purchase order, work order, credit note, task, location or contact against a contractor.

Reorder list columns

Each of the columns within the list can be reordered to suit your preference by clicking and dragging a column heading and moving it across the page. AroFlo will save this order.

To reset the column order, click the (A-Z button), on the top right of the list.

 

 

Searching for contractors, locations and contacts

If you have a large contractor list, you can search for contractors, locations and contacts using keywords. Use the filter settings to extend the areas for an even deeper search.

To optimize global search:

  1. Click the (three lines).
  2. Enable additional search areas as required.

    If your site has multiple business units, you can enable Full Company Search to search for contractors across your entire company.

     
  3. Click Save Filters.

Your global search filter settings are stored within your browser. These same settings will be applied whenever you use the global search fields throughout AroFlo Office.

 

Other options

Create Contractor

Click Create Contractor to create a contractor.

You can also create a contractor via Create > Contractor, or Accounts > Contractors > Create main menu options.

 
 

Active/Archived filter

Toggle between active and archived contractors by clicking the down arrow on this filter.

 
 

Bulk import contractors

To easily import contractors, click the icon to use the Import Assistant. You can also upload a file instead if you wish. See Import Assistant.

 
 

 

Other things you can do with contractors

Set a contractor to 'Do Not Trade'

You can flag contractors that you no longer want to use or work with by setting their trading terms on their contractor card to 'Do Not Trade'.

Click the contractor name to open the contractor card. More on editing contractors.

When a 'Do Not Trade' contractor is selected on a work order, request for quote, or credit note, a warning message (Office) or a red 'Do Not Trade' banner (Field) will appear.

Record certifications

Certifications are qualifications and/or training employees may have. These might be qualifications/training that is required by law for that job or as a record of professional development for staff members.

Whilst Certifications can be viewed via the Contractor list and Contractor Card via the View button, they must be added and deleted via Workflow > Compliance > Certifications.

Details of relevant qualifications/training, identification, details and valid from and to dates can be included. An item can also be removed from the list. When a certification has been removed, it is archived for future reference if required.
