Compare Quote, Jobsheet and Invoice Items

Learn how to compare your invoice items to those on your quote and jobsheet

The Invoice Worksheet allows you to compare the items that were quoted, booked on the job and allocated to the invoice side by side with the Compare Quote, Jobsheet and Invoice Items tab.

Why use this feature?
This is a great way to make sure that what you're invoicing for matches what you originally quoted, or booked onto your jobsheet. Here is an example scenario:

You quote for $1000. You book $200 worth of extra purchases on the jobsheet. You check the Compare Quote, Jobsheet and Invoice Items tab. Instead of missing out on invoicing the extra $200 in purchases, you catch it and add it to your invoice worksheet in addition to the original quoted amount.
 

What to check if the tab doesn't work as expected

If the tab doesn't work as expected, try checking the following things:

  • Invoice Layout must be set to Lab & Line ItemsDetailed or Itemised.
  • Use the Quoted Items list when booking materials on to the task. Field Technicians use the Quoted Items list when booking parts to the task.
  • Task Quotes only. The Compare tab only looks at the quote attached to the task and not from any project it may be linked to.
 
 

Click the Compare Quote, Jobsheet and Invoice Items tab.

Select either the quote or jobsheet item you want to add to the invoice by clicking the plus icon to the right of each item. This will add the item to the Invoice column with the quantity from either the task or the quote; whichever column you clicked from.

Alternatively, you can add all of the items from a task or quote to the invoice by clicking Invoice All Quoted/Jobsheet Items at the bottom of the Quote or Jobsheet columns.

In this example, the quoted labour was 14 hours. The labour recorded on the jobsheet was only 13.5 hours. The quoted value can be invoiced by clicking Invoice All Quoted Items under the Quote column.

Review your quantities of items in the Invoice column (if adding items from the quote), editing if necessary, and Save to confirm.

Click the Compare Quote, Jobsheet and Invoice Items tab again at any time to review or edit.

Quick Comparison

The compare tool uses colours and icons to indicate variances between the item quantities on the invoice and the item quantities on the quote or jobsheet:
Quantity invoiced is equal to the quote or jobsheet
Quantity invoiced is greater than the quote or jobsheet
Quantity invoiced is less than the quote or jobsheet
Quantity invoiced is equal to the quote or jobsheet
Quantity invoiced is greater than the quote or jobsheet
Quantity invoiced is less than the quote or jobsheet
