You can tailor the information shown in your purchase order layouts by using data elements such as static data, dynamic data and tables.

The following tables describe the data elements that are currently available for purchase order layouts.

For instructions on how to customise a standard layout, please refer to Customise a Standard Layout

When adding new data elements to a layout, it is good practice to preview the layout to ensure the correct information is displayed.

Static Data

Static data is information stored within the AroFlo.

Element GroupDescription
Supplier DetailsData relating to the selected Supplier. This information can be modified by editing the Supplier card.
PO DetailsData relating to the Purchase Order. This information can be modified by editing the Purchase Order.
Organisation DetailsData relating to your Company and the Primary Contact.
Contact DetailsData relating to the contact details for your Company.
Location DetailsData relating to the Location card linked to the Quote. This information can be modified by editing the Location card.
Project DetailsData relating to the Project worksheet. This information can be modified by editing the Project.
Task DetailsData relating to Task. This information can be modified by editing the Task.

Dynamic Data

Dynamic data is system calculated information relating to the purchase order.

ElementsDescription
[Qty Total]Total quantity of items ordered.
[Qty (rec) Total]Total quantity of items received.
[Cost Ex Total]Total cost value of items (ex. GST).
[GST Total]Total GST value of all items.
[Inc Total]Total value of all items (incl. GST).

Tables

Table data displays purchase order information in a table format. The data columns within a table can be removed or new columns can be added by using the Edit Columns or Add Columns functions available within the Properties box for the selected table.

MaterialDisplays PO material line items.
Material BOMDisplays PO material line items, grouped by inventory item.
Assets TableDisplays asset information for any assets linked to a Task/Purchase Order.
Task Documents (Images)Displays images that have been uploaded to a Task. Document filter must be set 'Show Client' or 'Show All'.
PO Documents (Images)Displays images that have been uploaded to the Purchase Order. Document filter must be set 'Show Client' or 'Show All'.
Client Documents (Images)Displays images uploaded to a Client card. Document filter must be set 'Show Client' or 'Show All'.
Location Documents (Images)Displays images uploaded to an Invoice. Document filter must be set 'Show Client' or 'Show All'.
Supplier Documents (Images)Displays images uploaded to the selected Supplier card. Document filter must be set 'Show Client' or 'Show All'.
Projects Documents (Images)Displays images uploaded to a Project. Document filter must be set 'Show Client' or 'Show All'.
Tax Component BreakdownDisplays the components that make up a tax code.

To embed an image into a layout, you will need to ensure the document filter on the uploaded image is set to Show Client or Show All. All other filter settings will prevent the system from embedding the images into the layout when it is printed to PDF.
