You can tailor the information shown in your invoice layouts by using data elements such as static data, dynamic data and tables.

The following tables describe the data elements that are currently available for invoice layouts.

For instructions on how to customise a standard layout, please refer to Customise a Standard Layout

When adding new data elements to a layout, it is good practice to preview the layout to ensure the correct information is displayed.

Static Data

Static data is information stored within AroFlo.

Invoiced Organisation DetailsData relating to your Client's details. This information can be modified by editing the Client card.
Invoice DetailsData relating to the Invoice worksheet. This information can be modified by editing the invoice worksheet.
Organisation DetailsData relating to your Company and the Primary Contact.
Task DetailsData relating to Task. It is not possible to modify details on a Task sheet while there is an final invoice.
Contact DetailsData relating to the contact details for your Company.
Location DetailsData relating to the Location linked to the Task. This information can be modified by editing the Location card.
Project DetailsData relating to the Project. This information can be modified by editing the Project.
Asset DetailsData relating to the Primary Asset linked to the Task.

Dynamic Data

Dynamic data is system calculated information relating to the invoice worksheet.

[Credits Applied]The total value of credit notes applied. Inc Tax.
[Payments Applied]The total value of payments made.
[Balance Due]The total value of the invoice minus any payments made.
[Project To Date Claimed Value]The total value of all invoices linked to this project. This value does not include the current invoice.
[Retention Claims To Date Gross Value]

Gross Value To Date of Project Invoices containing retentions.

Note: Value will be zero where there are no retentions. The value does not include the current invoice

[Retention Claims To Date Net Value]

Net Value To Date of Project Invoices containing retentions.

Note: Value will be zero where there are no retentions. The value does not include the current invoice

[Retention Withheld]The Retention value withheld from the current invoice
[Retention Withheld to Date]The total value of withheld retentions up to the current date. This value does not include the current invoice
[Retention Remaining]The full retention value minus the total of retentions withheld. This includes the value on the current invoice
[Retention Remaining to Date]Max retention value minus retention withheld to the current date.

Tables

Tables are used to display invoice information in a table format on a layout. The data columns within a table can be removed or new columns can be added by using the Edit Columns or Add Columns functions available within the Properties box for the selected table.

Invoice Line ItemsDisplays invoice line items in the same order as shown on the Invoice worksheet screen.
Invoice Line Items By Tracking CentreDisplays invoice line items under a separate heading for Tracking Centres that have been assigned to items.
LabourDisplays labour line items from the Invoice worksheet.
MaterialDisplays material line items from the Invoice worksheet.
Material (ex SOR Items)Displays material line items excluding SOR items from the Invoice worksheet.
SOR ItemsDisplays SOR items from the Invoice worksheet.
Material (takeoff)Displays takeoffs and material line items from a detailed quote. This should only be used when invoicing directly from a detailed quote.
OtherDisplays expense line items from the Invoice worksheet.
NotesDisplays task notes. Task note filter must be set 'Show Client' or 'Show All'.
Project SimpleDisplays all invoice items for a collated project invoice.
Project Simple (ex Variations)Displays invoice items for a collated project invoice, excluding variation items.
Project Simple VariationsDisplays variation invoice items for a collated project invoice.
Project DetailedDisplays all invoice items for a collated project invoice, grouped by task.
Project Detailed (inc. Description)Displays the invoice description and all invoice items for a collated project invoice, grouped by task.
Project Detailed (inc. Task Description)Displays the task description and all invoice items for a collated project invoice, grouped by task.
Project TotalsDisplays a list of invoices claimed to date against the project.
Project Totals (Stage)Displays a list of invoices claimed to date against the project, grouped by stage.
Project Totals (Tracking Centre)Displays a list of invoices claimed to date against the project, grouped by tracking centre.

Displays checklists automatically or manually added to a quote and/or task.
Labour (by signature)Displays labour line items with signatures from the Invoice worksheet.

Assets TableDisplays asset information for any assets linked to the invoiced Task.
Payments TableDisplays payment information recorded against the invoice.
Task Invoice HistoryDisplays a list of previous invoices for the task including payments received and balance due.
Task Documents (Images)Displays images that have been uploaded to a Task. Document filter must be set 'Show Client' or 'Show All'.
Invoice Documents (Images)Displays images uploaded to an Invoice. Document filter must be set 'Show Client' or 'Show All'.
Client Documents (Images)Displays images uploaded to a Client card. Document filter must be set 'Show Client' or 'Show All'.
Task Client Documents (Images)Displays images uploaded to the Client card linked to the Task. Document filter must be set 'Show Client' or 'Show All'.
Location Documents (Images)Displays images uploaded to the Client Location card. Document filter must be set 'Show Client' or 'Show All'.
Project Documents (Images)Displays images uploaded to a Project. Document filter must be set 'Show Client' or 'Show All'.

To embed an image into a layout, you will need to ensure the document filter on the uploaded image is set to Show Client or Show All. All other filter settings will prevent the system from embedding the images into the layout when it is printed to PDF.
