Geo zone scheduling is a fast and efficient way to schedule your resources and subcontractors based on the area or zone that you have assigned them to work in. AroFlo lets you assign or schedule jobs by postcode, suburb or a geographic zone.

  • Define zones by suburb, postcode, or simply by drawing directly on a map using geo-fencing.
  • Assign technicians, subcontractors and area managers to one zone, multiple zones, or all zones.
  • Include zones when scheduling tasks in the calendar to ensure the right resource is selected for the job.

Setting up zones and assigning resources are administration functions that require access to Site Administration. Please contact your Site Administrator for assistance.

Add zones

Zones are the service areas that will be assigned to your resources, e.g. Northern, Southern, South East etc.

To add a zone:

  1. Go to Site Administration > Settings > General.
  2. Click Resource Zones.
  3. Click Add / Import.
  4. Click New Zone
  5. Enter the name of the zone.
  6. Repeat for each service area.

Define geographical boundaries

Now that you've added your zones, the next step is to define the geographical boundaries for each zone. This can be done by using geo-fences on Google Maps, or you can use suburbs or postcodes.

Geo-Fences

A geo-fence is a boundary that is drawn on a map to define a zone.

  1. Choose from one of the following tools, which you can find at the top of the map:
    Circle    Rectangle    Polygon 

    The polygon tool allows you to add points on the map that will enclose an area. To finish the polygon, click on the first point you added.

  2. Draw an area on the map
  3. Select a zone from the drop-down list
  4. Click Done
  5. Repeat for each zone
  6. Click Save Map Geofences

Suburbs/Postcodes

To define a zone by suburbs or postcodes:

  1. Click the Postcodes / Suburbs tab

  2. Click Add Suburb or Add Postcode

  3. Tick the suburbs or postcodes you need

    Use the search box at the top to filter the list by suburb, postcode, state or country.

  4. Close the window

  5. Click Save


Assign resources

Resources (users) can now be assigned to each zone.

  1. Go to Site Administration > Users.
  2. Select a user from the list.
  3. Scroll down and click the Resource Zones tab.
  4. Click the zones that this user services.
  5. Click Save.

Include zones in the calendar

In order to use zones for scheduling, you will need to add zones to the 'Search Tasks' view within your calendar.

  1. Go to Office > Calendar.
  2. Click and drag out a time block.
  3. Under schedules, click Select > Task.
  4. Click Columns (located under the list of tasks).
  5. Scroll down and click Zone.
  6. Click Ok.

Find nearest task or resource

Using the GPS features within AroFlo's calendar, you can create an efficient job run for resources assigned to specific zones or route urgent jobs to the nearest available resource. For more information, see Scheduling with GPS (Nearest Task or Resource).
