Access to AroFlo's various features is controlled by a user's permission group and by the Feature Access tab in their user card.

To access the Feature Access tab:

  • From Site Administration, click Users
  • Select a user
  • Go to the bottom of the user card.

The settings available in the Feature Access tab are explained below.

Labour Visibility

Control the user's visibility of price information for labour by selecting one the following options.

Show CostAllows the user to see Cost values only

Show AllAllows the user to see all pricing

Material and Expense Visibility

Control the user's visibility of price information for material and expenses by selecting one the following options.

Show SellAllows the user to see sell values only
Show AllAllows the user to see all pricing
Users with the Manager permission group should have Labour, Materials and Expense visibility options set to Show All.

Landing Business Unit

A user can have access to multiple Business Units. The Landing Business Unit drop-down lets you set the Business Unit the user should see when they first log in.

If 'Not Set', the user will see their assigned Business Unit (found on the Settings tab).

Field Landing Page

Set the default landing page in AroFlo Field (for Field users) to show the main menu or task list.

Set the default filter that controls the task list landing page in AroFlo Field.

Field Landing PageDescription
Remember Last Used

Shows the last "Filter By" page that was selected by the user, i.e. the landing page will be the last one accessed from the options shown below.

My TasksShows tasks assigned or scheduled to the user.
OpenShows open tasks that are assigned to the user.
AllShows all tasks within the system (requires an additional setting - go to Site Admin > Tasks > Allow 'Base Users' to view "All Tasks")
Scheduled (Default)Shows only the tasks that are scheduled to the user.
Pick ListShows tasks that are are not scheduled or assigned (requires an additional setting- go to Site Admin > Tasks > Allow 'Base' Users to view "Picklist")
Required ByShows open tasks that are assigned to the user, sorted by due date.
ClosedShows all closed tasks (requires the user to have access to Site Invoicing).
ProjectsShows projects and associated tasks.

If you are scheduling within AroFlo, we recommend setting the Default Field Landing Page to 'Scheduled'.

Enable AroFlo Field Tracking

Check this box to enable periodic checking of GPS locations for users logged into AroFlo Field on a mobile device.

This will generate an asset and link it to the user card (under the Assets tab).

GPS timesheets

Once GPS tracking has been enabled, field staff can access their daily tracking information for faster timesheet entries in AroFlo Field. For a guide on how to use this feature, see GPS Timesheets.

In AroFlo Office, Admin users are able to access tracking information for each GPS timesheet entry to assist with approving timesheets for payroll. For more information, see Manage Timesheets with GPS.

Integration Menu

For legacy access types only

This field only appears when using legacy access types (Admin, Manager, or Base), as this function is now controlled by permission groups.

Check the box to allow the user to have access to the Integration menu (the same tab which is located at the top of Site Administration). Best for users who will work with Integrated account packages.

Edit Task Notes

For more information on editing Task Notes, see Edit Notes.

All Task NotesThe user can edit Task Notes created by anyone.

Quote Access

For legacy access types only

This field only appears when using legacy access types (Admin, Manager, or Base), as this function is now controlled by permission groups.

Control the user's access to quotes by selecting one the following options (for Worker and Supervisor users only).

Quote AccessDescription
Limited (default)Allows the user to only see quotes they have created or are the estimator for.
AllAllows the user to see all quotes (regardless of who created them or who the estimator is).
DisabledPrevents the user from accessing any quotes (all quote links and menu items are removed).

Quote Pricing Visibility

Control the user's quote pricing visibility by selecting one of the following options (for Worker and Supervisor users only)

No Pricing (default)No pricing on a quote is visible.
Line ItemsAllows the user to see pricing for line items only.
Overall TotalsAllows the user to see only the quote overall totals.
AllAllows the user to see all pricing.

Purchase Order Access

For legacy access types only

This field only appears when using legacy access types (Admin, Manager, or Base), as this function is now controlled by permission groups.

Control the user's access to purchase orders by selecting one the following options (for Worker and Supervisor users only).

Purchase Order AccessDescription
Limited (default)Allows the user to only see purchase orders they have created.
AllAllows the user to see all purchase orders (regardless of who created them).
DisabledPrevents the user from accessing any purchase order (all purchase order links and menu items are removed).

Allow Viewing Clients

For legacy access types only

This field only appears when using legacy access types (Admin, Manager, or Base), as this function is now controlled by permission groups.

Check the box to allow the user to view client lists in both Office and Field.
Disabling this setting will prevent the user from accessing any client list (including in search boxes, as shown below) throughout Office and Field. Users can only view basic client details on tasks and quotes.

Access to the Client list in Field > Menu is not available to users if this setting is disabled in their user profile.

Allow Creating Clients

For legacy access types only

This field only appears when using legacy access types (Admin, Manager, or Base), as this function is now controlled by permission groups.

Check the box to allow the user to create new clients in both Office and Field.

Individual Calendar Settings per Business Unit

For sites with multiple business units: check the box to allow the user to have different calendar settings (including resources) based on the selected business unit.

Default Field Schedule Event Type Filter

Sets the default event view when viewing the Schedule from Field. Default is Task Schedules.
Options are:

  • Task Schedules
  • Task Timesheets.

Timesheet Resource List

For legacy access types only

This field only appears when using legacy access types (Admin, Manager, or Base), as this function is now controlled by permission groups.

Control the user's ability to add or edit timesheet entries for other users. This setting is applicable for Worker and Supervisor users and has two settings:

  • All (default) - The user can add timesheet entries for other users.
  • Only Me - The user can only add or modify their own time sheet entries.

Site Administrator Access

This setting is available to Manager users only to allow access to Site Administration via AroFlo Office. Click the (profile) button to switch to Site Administration.

Site Administration is used for:

  • Configuring general system settings
  • Creating users and setting access permissions
  • Setting up work types and overheads
  • Compliance related settings, forms and licensing information
  • Business specific options, task types, custom fields and checklists
  • Accounting integration.

We recommend that this permission is only given to personnel who have authority to access sensitive information relating to your company and employees.

Reset Password through "Forgot Password"

Check the box if you want the user to be able to request a password reset via the Forgot Your Password button on the login window.
