The usage for the Spearhead integration software is very simple in its nature. Grab the items from AroFlo, select the items you want to push to your accounting package, click Post Data.
Open the AroFlo-MYOB/QB link
Go to File > Reload Data
Select the areas that you want to import: Clients, Suppliers, Invoices or Supplier Invoices
For each "Conduit" or area select the items you want to import
Click Post Data
Repeat the last two steps for all areas that you want to import/update into your accounting package.
To load data into the Accounting Framework, select "File" and "Reload Data" from the main menu.
The following screen will appear:
You can tick or untick the boxes at the left of the screen to choose which conduits will be loaded. For some conduits, additional filtering options are available, as shown below:
After selecting which conduits to load, click the "OK" button at the bottom-right of the screen. The "Reload Data" screen will disappear and be replaced by a "Progress" screen, as show below, so that you can monitor the progress of the load.
Once the load is complete, the "Progress" screen will disappear, and the main screen will now show a list of the records loaded for each conduit.
To view data from the different conduits loaded, click on the icon at the left hand side of the screen.
Open the AroFlo-MYOB/QB link
Go to File -> Reload Data
Select the areas that you want to import; Clients, Suppliers, Invoices or Supplier Invoices
In order to post records from AroFlo to MYOB/QB, the records must be "ticked", or selected for posting.
To select or de-select particular records for posting, click the checkbox at the far-left of the particular record.
You can "toggle" the selected status of all records by clicking on the "Sel" column header at the top of the list. When you do this, all "ticked" records will become "unticked" and all "unticked" records will become "ticked".
To post data to MYOB/QB, click the "Post" button at the bottom-right of the screen.
At this point, all selected records for the current conduit will be posted. A progress screen, like the one shown below will be displayed while this is occurring.
Once a record has been posted successfully, it is removed from the list, and will not load again unless required. However, if an error occurs, the record remains in the list, and a descriptive error message is displayed at the bottom of the screen.
To display the log file for a particular session, click on the "Session History" tab at the top of the main screen.
You can limit the displayed list to successful or failed posts by selecting the appropriate option from the bottom-right of the screen.
To print the session history, click the "Print History" button at the bottom-right of the screen.
Click the Printer icon on the preview window to send the report to the printer.
You can also click the Export icon to save the report to a file, if required.
Under certain circumstances, you may wish to change the posting action for particular records. To do this, right-click on the blue column in the middle of the screen - a menu will appear as follows:
The 2 options available are:
"Source Updates Target" - This is the default options and indicates that the item will post into the accounting package
"Mark As Updated" - Bypass posting to MYOB and report back to AroFlo that the item was posted i.e. moving the invoice/purchase order to Processed or marking the Client/Supplier as updated.
