In AroFlo, we create an asset for everything we want to track via GPS. An asset must always be created for the device or equipment performing the tracking. This could be vehicles or equipment (with a supported GPS unit installed), or a personal mobile phone (with in-built GPS). Any asset can then be linked to a user. So the movements of a user are based on the asset doing the tracking.

Assets can be tracked in one of two ways:

  • Using a supported GPS tracking unit.
  • Using a mobile device (e.g smart phone) with browser location information (AroFlo Field Tracking).
  • See the GPS Tracking Overview page for the differences between the two types of tracking.
  • Tracking using a mobile device (e.g. smart phone) is only suitable for tracking a user who will carry the device. It is not suitable for tracking equipment or vehicles.

Set up a supported GPS tracking unit

To order any of the GPS tracking devices described below, please submit a support request or call our Customer Service team.

SIM Cards

  • AroFlo's supported GPS devices require a full-sized data SIM card, which you can purchase from your telco. Some telcos provide additional data SIM cards for free on existing mobile and data plans.
  • For all our clients who purchase a GPS device, you will need to send in your SIM cards to us before we set up and ship your GPS units to you.
  • You will need to provide us with the Access Point Name (APN) that the SIM card uses. This information can only be obtained from the company that provided the SIM card.

GPS billing

Billing for GPS devices starts during the set-up process.

This is useful if you have two or more assets that travel together, e.g. a truck and trailer, or assets and sub assets.

On the Map, click the Object shortcuts  and then click View Linked Assets.

All assets linked to the object will display here. Click on an asset to open the relevant asset card.

If a user is linked to an asset, it will look like this. Click on the user to open the user card.

Set up a mobile device (using third party smartphone app)

If you want to track the location of a smartphone, for example, a work company phone, you can use your smartphone as a GPS tracker using a third party app. This works in much the same way as setting up a supported GPS tracking unit.

Create object in AroPoint GPS and link to an asset

  1. Set up an Object in AroPoint GPS, ensuring you create your own

     Tracker ID.
  2. Go to Manage > Assets.
  3. Select the asset from the list, or create an asset.

  4. Go to the AroPoint GPS tab.
  5. From the AroFlo Device Tracking option, select Configure.
  6. Select the corresponding AroPoint GPS Object from the list and click Link Object.

  7. Save the asset.

Set up GPS Tracker app on your smartphone

  1. Download the Mobile Phone GPS Tracker app.

  2. On the setup screen, tap Tracker ID to enter the Tracker ID that you created, e.g. Galaxy S10.

Set up a mobile device (with AroFlo Field Tracking)

AroFlo's built-in GPS tracking feature can be enabled to track the location of your field staff throughout the day, and is included as part of your AroFlo subscription.

There are two ways to enable AroFlo Field Tracking:

  • Via the User card in Site Administration (only Site Administrators can do this)
  • Via the Assets menu in Office (any user with appropriate permissions can do this).

Enable Field Tracking via Site Admin

Enable location sharing

Before enabling this feature, you should speak to your Field users about GPS tracking in AroFlo and let them know they will need to allow location sharing in the browser on their mobile device.

To enable AroFlo Field tracking for Field users:

  1. Go to Site Administration > Users.
  2. Click on a user's name to access their details.
  3. Scroll down to the Feature Access tab.
  4. Check the box to Enable AroFlo Field Tracking.
  5. Save.
  6. Repeat for each user.

This process creates an asset that will be used to track the user. The asset name defaults to the user's name. You can click the user name to go to the asset card.

This will also create an Object in AroPoint and link it to the asset as a Linked AroPoint Device. Click the AroPoint GPS tab to access the Live Map, or open the main Map to view the object.

Enable Field Tracking via Assets Menu

To enable AroFlo Field tracking via the Assets menu:

  1. In Office, create an asset.

    Asset name

Examples of what you might name the asset are:

    • (User name)'s phone
    • Name of the user
    • Mobile number of the phone you want to track.
  2. Click the AroPoint GPS tab.

  3. From the AroFlo Field Tracking option, select Configure.
  4. Click the (magnifying glass) to choose the user you wish to track. Click Select User to confirm.
  5. Click Use AroFlo Field to save.

  6. Click Save Asset.

Link user

This process will automatically link the user to this asset and the asset will be shown on the Live Map. Click the Users tab to open their user card. On the Assets tab of their user card, you'll see the asset you just linked them to, and any other assets they've been linked to. This will also create an Object in AroPoint for use on the main Map.

GPS Configuration History

The GPS Configuration History gives you a history of which object was linked to this asset, who it was tracked by (if used for Field tracking), and the dates it was linked for.
